Intelligent Systems & Operational Design

The work that happens
after everyone
has gone home.

Most businesses already pay for good software. The problem is never the software, it is the gap it leaves: the bit held together by a spreadsheet, a WhatsApp thread, or someone staying late. We build that missing piece for your business specifically, then run it for you.

No commitment. No jargon. Just clarity about your operation.

The Problem

The work that keeps your business running isn't the work you're paid for.

That's not a staffing problem. It's a systems problem. Every confirmation email, follow-up message, review request, and status update handled manually is margin walking out the door, and attention stolen from the moments that actually matter.

What we take on, and what we leave alone

We take this off your team

  • Booking & appointment confirmations
  • Pre-visit upsell & communication sequences
  • In-service messaging assistant
  • Staff task routing & scheduling
  • Post-visit review requests
  • Re-engagement & win-back campaigns

We never touch this

  • The first impression and physical welcome
  • Warm handover and local knowledge
  • High-emotion customer interactions
  • Complaint resolution
  • VIP and repeat customer recognition
  • Any moment requiring genuine empathy

What that looks like

Here is exactly what happens, and when.

Most agencies show you a logo diagram and ask you to trust it. These are the actual steps, described in the words you would use rather than the words a developer would.

Booking & appointment confirmations

Confirmation out in under a minute, every time, without anyone typing it.

Booking lands

Trigger

Fires the moment a booking appears in the system you already use. Nothing changes about how you take bookings.

Check the details

Logic

Reads the date, service, staff member and contact details. Catches a double-booking or a missing phone number before anything goes out.

Write the message

Our AI

Drafts the confirmation in your wording, with the right address, parking notes and cancellation terms for that specific booking.

Send it

Email · SMS

Goes out by whichever channel that customer actually gave you, inside a minute.

Fill the diary

Calendar

The booking appears on the right staff member's calendar with everything they need already attached to it.

Pre-visit upsell & communication sequences

One relevant suggestion, timed to the visit, that stops dead the moment they reply.

Booking confirmed

Trigger

Starts a countdown from the confirmed visit date, not from the day they booked.

Wait for the moment

Timer

Holds until the message is useful. Seven days out for a hotel stay, two days for a salon appointment.

Read the history

Records

Looks at what this customer booked last time, and just as importantly what they turned down.

Pick one offer

Our AI

Chooses a single relevant suggestion. One, never a list, and never something they have already paid for.

Send it

Email · WhatsApp

One message in your voice, with a link that adds the extra to the existing booking rather than starting a new one.

Stop on reply

Guard

A human reply ends the sequence immediately. Nobody gets chased by a machine they have already answered.

In-service messaging assistant

Routine questions answered in seconds; anything human on a person's phone with the full thread attached.

They message

WhatsApp

The number you already publish. Nothing for the customer to download or sign into.

Read the question

Our AI

Works out what is being asked and, more importantly, whether it is the kind of question a machine should be answering at all.

Look it up

Your info

Wifi code, checkout time, opening hours, allergens, parking. Your answers, not the internet's.

Answer or hand over

Router

A routine question is answered in seconds. Anything emotional, urgent or complaint-shaped goes straight to a person, untouched.

Alert the team

Staff

The right person gets it on their phone already knowing what was said, so they never ask the customer to repeat themselves.

Staff task routing & scheduling

The right job on the right person's phone, with the detail already filled in.

Something happens

Trigger

A checkout, a cancellation, a job marked complete, a delivery signed for.

Who should do this

Rules

Your rules, not ours: who is on shift, who is qualified, who is nearest, and what is already on their list.

Build the task

Logic

Creates the job with the room or address, the notes and the deadline already attached. Nothing to look up.

Send to their phone

Push

It appears on the right person's list. Nobody is radioed, nobody is walked over to, nobody is chased.

Escalate once

Timer

If it is not ticked off inside the window you set, the supervisor is told. Once, not repeatedly.

Post-visit review requests

Asked once, at the right moment, and never asked of someone with an open complaint.

Visit ends

Trigger

Fires on the actual checkout or job completion, not on whatever date the booking said.

Wait for the moment

Timer

A few hours later, not the second they walk out. Timing is most of the response rate.

Skip who shouldn't be asked

Guard

Anyone with an open complaint, a refund, or an issue flagged during the visit is left out until it is resolved.

Ask once

Email · SMS

A single message with a direct link to the review page. No reminder, no second ask, no nagging.

Tell you what came back

Alert

New reviews land in your inbox with that customer's history attached, so a reply takes a minute rather than an afternoon.

Re-engagement & win-back campaigns

People who drifted get one honest message, and you get told who came back.

Nightly check

Schedule

Runs once a night against your own customer records. There is no list for anyone to maintain.

Who has gone quiet

Rules

Finds people past their normal return gap. Six weeks for a salon, eleven months for a villa. Your numbers, not an industry average.

Why they stopped

Records

Separates busy from unhappy. Anyone who complained is excluded from the campaign, not chased through it.

Write to them

Our AI

References what they actually booked last time. Never opens with 'Dear valued customer'.

Send, then stop

Email

One message. If there is no reply, that person is not contacted again for six months.

Report back

Weekly

One line a week: who was contacted, who returned, and what it was worth.

What we do

We build the part your software won't do, and we run it for you.

We don't replace what you already use. We find where your systems stop talking to each other, build the piece that connects them, and hand it over working. You keep your booking system, your accounts package and your job software. They just start behaving like one thing instead of four.

Where We Work

You will recognise at least one of these.

We work by problem rather than by industry, because the same three problems turn up in a villa business, a coffee shop and an electrician's van. If one of these describes your week, we can probably help. If none of them do, we will tell you that too.

Problem one

Two systems that don't talk to each other

The wholesaler bill retyped by hand as invoice lines. The booking that never reaches the accounts package. The same customer entered twice because the two tools have never met. Nobody chose this; it accumulated.

You know the exact number of times a day someone retypes something.

Problem two

A spreadsheet holding the whole thing together

It started as a stopgap. It now runs a real part of the operation, one person maintains it, and everybody quietly knows what happens if that file is ever lost or that person leaves.

You would not want to explain it to a new starter.

Problem three

Records that live in one person's head

The consultation, the consent, the client history, the reason that customer always books the same slot. None of it is written down anywhere, so covering a shift means starting from nothing.

When they are off, the answer is 'we'll have to ask them'.

Work in a trade or run a salon? We have written those up in more detail: for trades and for salons and clinics.

Client Work

Real systems. Real clients. Built to last.

Every system byStrata builds is bespoke, handed over to the client, and built to be used every day, not just demonstrated once.

Vouno, Santorini, Greece

Four connected systems for a boutique villa property in Santorini.

byStrata built Vouno's complete operational ecosystem from the ground up. The operations app gives housekeeping staff a structured digital workflow for villa completions and issue reporting, while the management dashboard gives the team a live view of the entire property.

Alongside the ops app, byStrata built an 18-step pre-arrival guest survey in eight languages, capturing transport, wellness, dining, activities, and occasion preferences. Every completed survey feeds directly into an AI pipeline that generates a single, tailored Santorini itinerary per guest, which appears as a downloadable PDF inside the management dashboard.

A fourth system — an in-villa guest information portal, reached by a QR code in every villa — gives guests property information and local guidance in their own language. From a manager creating a booking to a guest receiving a personalised itinerary, the entire flow is connected. Nothing is generic.

Sister Coffee × Beau Bronze, South Wales

A cross-business loyalty and rewards app for two venues on the same street.

Sister Coffee and the family's Beau Bronze tanning salon sit side by side in Abersychan, South Wales. byStrata built a single loyalty app that connects both: customers earn a stamp for every drink at Sister Coffee, and ten stamps earns a free drink there — or an 8-minute sunbed next door at Beau Bronze.

The system runs three interfaces from a single codebase. The customer PWA installs to the phone home screen and handles sign-up, the stamp card, a personal QR, and reward claiming. The staff tablet lets the team scan a QR or look a customer up by phone, then stamp or redeem in one tap. The owner admin gives a combined view across both businesses, plus SMS member messaging.

All on a secure, owner-controlled stack — real authentication and row-level security, no per-customer loyalty fees, no lock-in.

How We Work

Simple by design. Fast by necessity.

01

Answer six questions online

About five minutes, in your own time, and nothing to book. You get a written recommendation within 24 hours: the repeatable tasks we found in your operation, roughly what each one costs you in hours, and what we would build first. If you want to talk it through after reading it, that is when we book a call.

02

We build it, usually in 7 to 14 days

We scope it, build it, test it with your team, and put it live. You make the decisions about how it should work. You do none of the technical work and you do not need to understand the code.

03

You own it, we keep it running

The code, the data and the accounts are yours from day one, so you are never locked in. The optional monthly retainer covers monitoring, fixes and improvements, and you can cancel it at any time without losing the system.

The Team

Two founders. One focus.

byStrata is a focused, founder-led studio. No account managers. No handoffs. You work directly with the people building your system.
